Name, email, company, volume estimate, message
UTM parameters (for marketing attribution)

When you process a document

The PDF you upload (stored encrypted in Google Cloud Storage)
Source / target language
Page count, file size, processing timestamps
Email address for delivery notification

Your documents

Uploaded PDFs are stored encrypted at rest in Google Cloud Storage (EU region). Documents are retained for 30 days after processing on Pay-as-you-go, 90 days on Team, or custom on Enterprise. You can request deletion at any time via email.

We do not use your documents to train any AI model, and we do not share them with any third party beyond the multimodal translation provider (Google Vertex AI) required to perform the translation.

Who we share data with

Cloudflare — website hosting, edge network, D1 database
Google Cloud — document storage (GCS), translation (Vertex AI, EU region)
Resend — transactional email delivery
Stripe — payment processing

Retention

Uploaded PDFs: 30 / 90 days depending on plan, or earlier on request
Waitlist / enquiries: up to 24 months, then deleted
Billing records: 6 years (HMRC requirement)
Analytics: up to 14 months

Your rights

Under UK GDPR, you have the right to access, rectify, erase, restrict, port, or object to our processing of your personal data. Email hello@exactpdfconverter.com and we'll respond within 30 days.
